How to choose an eTIMS-ready POS for a duka in Kenya
The right POS should make daily work easier before it adds more modules. Use this checklist to compare sales, stock, payments, offline operation and eTIMS integration readiness.
1. Ask what eTIMS status actually means
Do not accept a vague “KRA certified” label without evidence. Ask whether the provider is a KRA-verified third-party integrator, whether the intended OSCU or VSCU path is documented, and whether production submission is active for your taxpayer setup. KRA describes VSCU as suitable for bulk invoicing and not always online, while OSCU is intended for systems that are always online.
Check the provider's sandbox, testing, vetting and certification status. Your POS should keep credentials server-side and show clear sync or submission status.
2. Check the daily shop workflow
Sales and receipts
Can a cashier record a sale quickly, correct an error with permission and find the receipt later?
Stock
Can you see quantities, prices, low-stock items and stock movement without maintaining a second book?
Payments
Can cash, M-Pesa and other payment methods be separated and reconciled in a daily report?
Teams
Can owners, cashiers, kitchen staff and accountants see only the work relevant to their role?
3. Test weak-network behaviour
Ask exactly what works offline, what is queued, how conflicts are handled and when a transaction is considered synchronised. Offline support should be demonstrated with a test sale, a device restart and a reconnect—not inferred from a marketing sentence.
4. Start with a focused setup
New users should not face every ERP module on the first screen. MyDuka Z uses separate Hustler and Business experiences, then progressively reveals the next useful setup step after the current one is complete.
Questions to ask before subscribing
- Which features are live today, and which are still in sandbox or readiness testing?
- Who owns the data, and how can I request access, correction or deletion?
- What happens to sales when the internet is unavailable?
- Can I export my products and transactions?
- How are updates, support and security incidents communicated?
